What is Proven?
Proven is a web-based system of record for acknowledgements. It allows you to send notices to staff via SMS and email, track delivery and opens, record acknowledgements, and export proof of communication.
What problem does Proven solve?
Most businesses rely on informal channels — WhatsApp, email threads, verbal briefings — to communicate critical information. When an incident occurs, there is no structured proof that staff were notified. Proven creates a defensible, auditable record of every notice sent and acknowledged.
Is Proven a document signing tool?
No. Proven is not a document signing or e-signature platform. It records that a specific person was sent a specific notice, and whether they acknowledged receiving it. It is a system of record for communication, not for signatures.
What types of notices can I send?
Any notice that requires acknowledgement — safety updates, policy changes, operational announcements, compliance reminders, training confirmations, or any communication where you need proof that the recipient was informed.
Delivery
How are notices delivered?
Notices are delivered via both SMS and email. Each recipient receives a message containing a unique, secure link to view the notice and record their acknowledgement.
What happens if a message is not delivered?
Delivery status is tracked for every message. If an SMS or email fails to deliver, the failure is recorded in the audit trail and visible in the dashboard. You can then take appropriate action.
What are delivery windows?
Delivery windows allow you to configure the hours during which notices can be sent. This supports right-to-disconnect obligations by ensuring staff are not contacted outside of appropriate hours. Notices queued outside delivery windows are held and sent when the window opens.
How do automatic follow-ups work?
You configure a chase schedule when creating a notice. Proven automatically sends follow-up messages to recipients who have not yet acknowledged. Follow-ups continue on schedule until acknowledgement is received or the chase window closes.
Records & Proof
What does "immutable" mean in this context?
Once a delivery event or acknowledgement is recorded, it cannot be modified or deleted. Proven uses an append-only log, meaning new entries are added but existing entries are never changed. This ensures the integrity of the audit trail.
What proof can I export?
You can export delivery and acknowledgement records as CSV files for integration with other systems, or generate formatted PDF reports for audits and reviews. Both formats include timestamps, delivery status, and acknowledgement records.
How long are records retained?
Record retention policies will be outlined in detail at launch. Proven is designed for long-term record keeping in line with standard compliance requirements.
Security & Privacy
How is recipient data protected?
Recipient data is encrypted at rest and in transit. Access controls ensure that only authorised users within your organisation can view recipient information and acknowledgement records.
Are acknowledgement links secure?
Yes. Each recipient receives a unique, tokenised link that cannot be shared, guessed, or reused. Acknowledgements are tied to the specific link issued to that individual.
Where is data stored?
Infrastructure and data residency details will be provided to early access members. Proven is designed with data sovereignty requirements in mind.
